What it does

Pick the parts you need

Each part keeps its books in its own company, so the church, the school and the rental property each have their own accounts and reports. Banking, spending and accounts are always there.

Part

Church

Members and districts, tithes and offerings, Sunday services and cash, events, visitors and giving statements.

Part

School

Students, terms and fee structures, term billing, receipts, discounts and bursaries, the class register, marks and report cards.

Part

Rental

Buildings and units, tenants and leases, monthly rent billing, deposits held and who is behind.

Part

Building projects

Projects, materials and pledges, with public pledge pages people can give through.

Part

Parking

Vehicles in and out, parking tickets and parking income.

Always there

Banking, spending, accounts

The bank inbox, cash requisitions and supplier bills, budgets, and the financial statements.

Screens

One page for everyday work

Treasurers, bursars and office staff work from a single screen that opens on what needs doing today.

The Today screen: deposits to match, giving this week, rent overdue and a list of what needs attention
Today. What needs doing, most urgent first: bank lines to match, overdue rent and bills, idle cash floats and visitors to follow up.

All screens show made-up sample books.

Made for Kenya

Built around how money arrives here

M-Pesa and bank statements

Import a statement as the bank gives it. Amana reads each narration, suggests what it is, and posts the ones you tick together.

Your own Pay Bill

Payments to the organisation's own Pay Bill or Till can arrive in the books as they happen, matched by member, admission or unit number.

Texts to guardians and members

Remind guardians who owe and tell them when a child is absent, by SMS or email, straight from the screen you are on.

Your financial year

A church year from October and a school year from January can run side by side, each part on its own year.

Statements people can read

Fee statements, tenant statements and giving letters, with what is owed by age and how to pay.

Proper accounts underneath

Everything posts to ERPNext's ledger: trial balance, income and expenditure, balance sheet, cash flow and budget against actual.

Getting started

From first call to first receipt

  1. Tell us about your organisation

Which parts you run, how many members, students or units, and which banks and Pay Bills you use.

  2. Your own site is set up

Amana runs on its own ERPNext site for your organisation, with your name and logo on the sign-in page.

  3. Bring in what you have

The setup screen takes members, students and tenants from Excel, and your opening balances from the old books.

  4. Your team signs in

Each person gets a login for what they do: office manager, office staff or church leader.
